AI receptionist for small business: what it does and what it costs
How an AI receptionist answers calls, books appointments and takes messages, what it really costs to run, and how to tell if your business is ready for one.

Every missed call is a customer deciding whether to try again or ring the next business on the list. Most don't try again. An AI receptionist answers that call, in a natural voice, at any hour, and does the job a front desk does: answers questions, books the appointment and passes on anything it can't handle.
This guide explains what an AI receptionist actually does, what it costs, where it falls short and how to set one up without upsetting the customers you already have. You can also call our demo receptionist right now and judge it for yourself.
What an AI receptionist is
An AI receptionist is a voice agent that picks up your business phone line. It listens to the caller, understands what they want, and answers using information you give it: your services, prices, opening hours, location and booking rules. It can look at your calendar, offer real free slots and book one while the caller is still on the line.
It is not an old phone menu. Callers don't press 1 for bookings. They talk normally, interrupt, change their mind and ask follow-up questions, and the agent keeps up.
What it can do for a small business
Answer every call. Nights, weekends, holidays and the lunch hour, plus several calls at once when the line is busy.
Book, move and cancel appointments. It checks your calendar and only offers times that are actually free.
Answer the same questions you answer all day. Prices, opening times, parking, what to bring, whether you do a particular service.
Take messages properly. Name, number, reason for calling and how urgent it is, sent to you by email or text.
Route calls. Sales to one person, billing to another, emergencies straight to your mobile.
Speak more than one language. Our demo answers in English, Hindi, Spanish and Arabic, each with a native voice.
What it should not do
A good setup is clear about its limits. An AI receptionist should not give medical, legal or financial advice, handle complaints that need judgement, or make promises your team hasn't agreed to. When a call goes beyond what it knows, it should say so and take a message or transfer the caller to a person. We build every agent with those rules written in and tested before launch.
What an AI receptionist costs
There are two ways to get one: a subscription app you set up yourself, or a custom agent built around your business. Here is what ours costs, since we publish our prices:
Build: $3,500 (₹90K), about 2 weeks.
Monthly care: $500 (₹12K) a month, starting the month it goes live.
Calls and AI usage: paid by you, directly to the providers, based on how many calls it takes.
The build covers writing the agent's knowledge and rules, connecting your calendar and phone number, choosing a voice, and testing it with real scenarios. The monthly fee covers reading call transcripts, fixing wrong answers, updating prices and services, and keeping it working when the AI models underneath change.
Subscription app or custom build?
A subscription app is cheaper to start and fine if your calls are simple and your calendar tool is supported. A custom build makes sense when you need it to follow your exact booking rules, connect to the tools you already use, speak in your brand's tone, or handle several locations. If you are not sure, start with the question below.
Is your business ready? A quick test
Count three things for one normal week:
Missed calls. Most phone systems show them. Include calls that rang out after hours.
Repeat questions. Calls where the answer is the same every time, such as prices, hours and directions.
Bookings by phone. How many appointments come in through calls rather than online.
If you miss more than a handful of calls a week, or your team spends an hour or more a day on repeat questions, an AI receptionist will usually pay for itself. Work it out with your own numbers: multiply missed calls by the share that would have booked, then by what a booking is worth to you.
How setup works
Collect the knowledge. Services, prices, hours, policies, and the twenty questions callers ask most.
Write the rules. What it can book, what it must never say, when to hand over to a person.
Connect your tools. Your calendar, your phone number and where messages should go.
Test it hard. We call it with normal requests, awkward ones and deliberate attempts to confuse it.
Go live gradually. Many businesses start with after-hours calls only, then add overflow during busy times once they trust it.
AI receptionist or a person?
For most small businesses the answer is both. A person is better for regulars, sensitive calls and anything that needs judgement. The AI receptionist is better at being available: every hour, every call, without a queue. Put the agent on after-hours and overflow, let it handle simple bookings, and your team gets back the time it spends on calls that didn't need them. We compare the two in more detail in AI voice agent or receptionist.
Which businesses get the most from one
Clinics and dental practices. Lots of booking calls and the same questions about prices and timings. See our guide for dental offices.
Real estate agencies. Viewing requests on listings, often in the evening. Try the real estate demo.
Salons, spas and studios. Short bookings, frequent rescheduling.
Home services. Plumbers, electricians and cleaners who are on a job when the phone rings.
Questions people ask
Will callers know it's AI?
They should. We set every agent to say it is an AI assistant, and callers can always ask for a person. Most callers care more about getting an answer than who gives it.
Does it sound robotic?
Modern voices sound natural, with normal pauses and tone. The fastest way to judge is to call our demo.
Can it use my existing phone number?
Usually, yes. Calls can be forwarded to the agent all the time, only after hours, or only when your line is busy.
What happens to call recordings?
Transcripts are kept so you can review calls and so we can fix mistakes. We agree retention with you and say so in your privacy policy.
