AI receptionist for dental offices: a practical guide

How dental practices use an AI receptionist for bookings, recalls and after-hours calls, what it must never do, and what it costs to run.

AI receptionist for dental offices: a practical guide

A dental front desk is two jobs at once: looking after the patient in front of you and answering the phone that won't stop ringing. When both happen at the same time, the phone loses. Calls go to voicemail, and a patient looking for a new dentist simply calls the next practice.

An AI receptionist takes the calls your team can't. This guide covers what it does in a dental practice, the rules it must follow, and what it costs. You can hear how it sounds by calling our clinic demo.

Where a dental practice loses calls

  • Before opening and after closing. Patients call when they finish work, which is when you have gone home.

  • Lunch and busy chair time. The front desk is checking a patient out while two lines ring.

  • Monday mornings. Weekend toothaches and rescheduling all arrive at once.

  • Holidays and staff leave. One person off can halve how many calls get answered.

What an AI receptionist handles well

  • New patient bookings. It asks what they need, offers real free slots and books the visit.

  • Rescheduling and cancellations. The calls that take your team the most back-and-forth.

  • Price and service questions. Check-up and clean, whitening, consultations, using the prices you approve.

  • Practical questions. Opening hours, parking, what to bring, whether you see children.

  • Messages for the team. Insurance questions, lab updates and anything it shouldn't answer, written up and sent to the right person.

The rules it must follow

A practice's phone line is not the place for creative answers. We set these rules on every clinic agent and test them before launch:

  1. No clinical advice. It never tells a caller whether a symptom is serious or what treatment they need. It books an appointment or passes the call on.

  2. Emergencies go to a person. Swelling, heavy bleeding, trauma or severe pain trigger your emergency instructions straight away, such as a transfer to the on-call number.

  3. Only approved prices. It quotes from your list, says when a price depends on an examination, and never invents a discount.

  4. Minimum personal data. It collects only what booking needs, such as name, phone number and reason for the visit, and doesn't ask for medical history on the phone.

  5. Always offer a person. Callers can ask for the team at any time.

If you are in the United States, ask any provider how they handle HIPAA, and check that your call, AI and calendar providers will sign the agreements your practice needs. In India, the Digital Personal Data Protection Act 2023 applies to patient data. We set up data handling to match where you practise.

Connecting it to your practice software

The agent is only as useful as the calendar it can see. Depending on your practice management software, it can book straight into your schedule, or it can book into a shared calendar that your team confirms. Direct booking is faster. A confirmation step is safer while you build trust. We confirm what your software supports before quoting.

What it costs

  • Build: $3,500 (₹90K), about 2 weeks.

  • Monthly care: $500 (₹12K) a month, from the month it goes live.

  • Calls and AI usage: paid by you, directly to the providers, based on call volume.

To see if it pays off, take your missed calls from last week, estimate how many were new patients, and multiply by what a new patient is worth to your practice over a year. For most practices a single recovered new patient a month covers the monthly fee.

A sensible rollout

  1. Week 1: after-hours calls only. Your team reads every transcript the next morning.

  2. Week 2 to 3: add overflow, so it answers when the front desk line is busy.

  3. After that: let it handle routine rescheduling and reminders, while your team focuses on patients at the desk.

Pair it with a website chatbot

Many patients would rather type than call. A chatbot on your website answers the same questions and books the same appointments, using the same rules. Our chatbot cost guide explains that build.

Questions practices ask

Will older patients be comfortable with it?

Most callers just want the appointment. The agent speaks slowly and clearly, repeats details back, and hands over to a person whenever someone prefers it.

What if it books the wrong slot?

It only offers slots your calendar shows as free and follows your rules for how long each treatment takes. During rollout, your team confirms bookings before they are final.

Can it call patients for recalls?

Outbound recall calls are possible, but they have extra consent rules in most countries. We usually start with inbound calls and add recall reminders by text or email.

Run a practice? Call the clinic demo and ask it to book a check-up, then send a brief for a fixed quote.
